Administrator Guide Β· v2.0

Key concepts

Five minutes here will make everything else obvious. Skim it once, and come back when a term trips you up.

Who can do what: roles

A person can hold more than one role. What you see and can do in the app is the sum of your roles.

RoleWhat they can do
AdministratorFull control across every unit: approve, transfer, revoke, correct billing, provision and deprovision, run service billing in the Bursar, work the Canva Watchlist, and manage roles.
Fiscal OfficerApproves orders on the accounts they manage, can hand an approval to a delegate, and manages licenses on those accounts. The role comes from KFS (holding or managing an account), not from a setting in the app.
Computing Support
Coordinator (CSC)
Support role. Can search the directory, view the app as another user, manage open orders (disapprove or reassign), and revoke, transfer, re-provision or delete licenses. CSCs cannot approve orders.
License ManagerManages licenses for their home unit, plus any extra units an administrator grants.
Business OfficeWorks service-billing runs in the Bursar and the Multi-Batch Recharge portal, and can open the Canva Watchlist.
Super AdminThe single approver for high-impact bulk jobs (deprovision and restore).

Viewing as another user (impersonation)

Administrators and CSCs can look at the app as another user. It's the fastest way to help someone, because you see exactly what they see. Two things to know:

πŸ‘€

While you're viewing as someone else, the app shows their permissions, so your money tools (Rebill, Issue credit, Refund) are hidden. That keeps billing changes correctly attributed. Return to yourself to use them. Everything you change while viewing as someone else is still recorded as done by you.

Finding your way around

View button
The button above the table (it usually reads "View Change History"). Click it to step through the views: Current Data, Renewal Summary, Device Summary, Change History, the SDL views, and more. Press and hold it, or Shift+click, to open the full list. This guide calls that list the View menu.
Action window
Opens when you click a record. The main buttons for that record sit in a row; quieter tools (View activity, Add note, Re-provision, Delete order and others) sit in a strip along the bottom. You only see the buttons your role and the record allow.
Command Center
The hub for admin tools (the Bursar, Watchlist, Command Log, Sick Bay and more). Open it from The Armory in the page footer. See Tools & jobs.

The life of a license

Open order→ Approved / Closed→ Renew (active) · Revoke · Removed
Open order
A request waiting for a fiscal officer, or an approved order that hasn't been billed yet. Both open with the open-order buttons. Not billed yet, fully editable.
Renew
An active license. Bills on its renewal cycle.
Revoke
Revoked. If the unit already paid, the seat becomes a spare for that account, and a new order on the account can reuse it.
Removed
Gone for good: no access, no further billing, and not a spare. Refunds, merged duplicates, and unbilled orders for people who left end up here. An administrator can Un-remove a paid license that was removed by mistake.

How billing is stamped

Accounting Period
Which cycle a charge belongs to: an annual token like ADOBEFY27 (the fiscal year the license is for) or a month like OCT. 2026.
DocNbr
The KFS document number. Its presence is the proof a charge actually posted to the ledger.
FYRenewal
Records when a group chooses to pay, separate from the license year. FY2026 means billed before the June 30 fiscal close; FY2027 means billed in August, after close. This decides which recharge run picks the record up.
Frozen
While a service-billing run is in progress, the records in it show in amber ("Frozen for the … service-billing run") and are read-only until the run is released.

πŸ’³ Billing

Correcting charges, giving money back, and producing the KFS service-billing hand-off.

Rebill: reverse or re-bill a charge

Administrator

Backs a charge out of the ledger and, if you choose, bills a different account and fiscal officer instead. Use it when a license was charged to the wrong account. The license itself doesn't move; only the billing does.

When to use: a billed license was charged to the wrong department, or a charge needs to be undone.

  1. Open the record and click πŸ”„ Rebill in the Action window.
  2. To simply undo the charge, leave the account as it is. To move it, type the correct account: the fiscal officer, FreeSoft eligibility, and any reusable spare license appear as you type.
  3. Choose the bill timing (this cycle, or defer to next year), enter a reason, and click Reverse & re-bill (or Reverse charge if the account stays the same).
Details & guardrails
πŸ‘€
Shows for administrators viewing as themselves, on any record that has been charged (it carries a DocNbr or an Accounting Period). It's hidden while you're viewing as another user.
πŸ’Έ
Refunds are queued for you. If the old account really paid (a real DocNbr) and you move the charge elsewhere, a pending credit goes to Credits & Refunds automatically and nets into the next monthly service billing. The former fiscal officer is emailed. Reversing to the same account nets to zero.
β†©οΈŽ
If the new account belongs to a different fiscal officer, the order goes back to Pending Approval for them. The old and new fiscal officers are emailed. A reason is always required and is logged to history.

Refund, Issue credit, or Un-remove

AdministratorBusiness Office (Un-remove)

Three ways to put money or a seat back. Pick by what should happen to the license afterward.

πŸ’Έ Refund
Money back, and the seat is released. The record becomes Removed, the vendor seat comes off, and the fiscal officer gets a courtesy email. No approval needed. If the license is needed again, place a new order.
↩️ Issue credit
Money back on a charged license that's already revoked. The seat stays as a spare for the account.
♻️ Un-remove
Brings back a paid license that was removed by mistake. It returns as a spare (Revoke) with its billing stamp.

Where: all three are buttons in the Action window. Refund and Issue credit show only on a record with a real charge that hasn't already been credited, and only while you're viewing as yourself.

Details & guardrails
πŸ—“οΈ
Credits net as a negative line on the month-end service billing, or on next month's if this month's run is already done. Everything queued is listed on the Credits & Refunds page in the Command Center.
🧾
Once a refund posts, the record's Accounting section shows a Refund line (amount, account, and KFS refund document) beside the original charge. The original charge stamp is never overwritten.

The Bursar: run and reconcile service billing

AdministratorBusiness Office

The one place to work a service-billing run, and to check that what KFS billed matches License Commander. Open it from the Command Center.

When to use: the monthly service billing, the June and August annual renewals, and any time you want to know what's coming to bill.

  1. Start on the Ledger tab (it opens first): a live register of what the next run will bill, the refunds queued against it, and orders still waiting for approval ("on deck").
  2. On the Run tab, click Dry run first. It shows and downloads exactly what you'll hand the Business Office, and freezes nothing.
  3. Click Generate everything & freeze. The records in the run are frozen until you release it.
  4. Work each KFS document card in order: download it, submit it to KFS, enter the document number, then Stamp. A stamp can be undone.
  5. When every document is stamped, click Release & unfreeze. The release shows anything that changed while the run was frozen.
  6. On the KFS tab, use KFS Pull to capture the posted documents, so the Bursar can reconcile them line by line.
Details & guardrails
🏦
Closed accounts: if KFS rejects an account as closed, flag it on that document. Those seats stay uncharged, reopen when the run is released, and the fiscal officer is emailed to supply a new account. The flag clears itself once every seat has moved to a good account, and they bill on the next run.
🎨
Canva renewals live under Run, then Owed & renewals. Each Canva seat renews in the month it was first billed. Notify emails the fiscal officers, who can fix the account in License Commander through the end of that month. Only notified seats bill on that month's run. To drop a seat, revoke the Canva license as an administrator.
⚠️
Run and stamp a month's billing before you notify the next month's Canva renewals, or those fiscal officers get a second notice.
πŸ’»
KFS Pull only works on a computer with the KFS capture helper installed. Chrome opens and you sign into KFS yourself.
πŸ“Š
Bottom Line and Margin & Forecast summarize the fiscal year and what's coming to bill. The KFS tab lists any line that doesn't match, with a suggested fix.

Download a service-billing CSV

Administrator

Exports a KFS-format Service Billing file for Microsoft CASA or Adobe, or a plain license list. The Bursar's Run tab now builds the official hand-off and freezes the records; this export is handy for a quick list or a cross-check.

  1. Click Download CSV to open the export menu.
  2. Pick Standard for a plain license list, or pick the product (Microsoft CASA or Adobe) for a Service Billing file.
  3. Choose a scope: Other Units (recharge departments), OIT Internal, or Everything. Only Other Units asks which fiscal year; the other two include every year.
  4. You receive two files: the account lines to upload, and a source file to verify against.
Details & guardrails
↩️
If credits are pending, the file nets them and then asks whether to mark them processed. Choose "Keep pending" unless this is the bill you'll actually submit, or the credits won't appear on the real one.
βœ…
Fiscal-year labels roll over automatically on July 1. Adobe leaves out centrally subsidized records.

Multi-Batch Recharge portal

Business Office

A guided, one-batch-at-a-time way to enter KFS document numbers for a big recharge: download a batch, upload it to KFS, flag any rejects, then record the document number to stamp the rest. The next batch stays locked until the current one is committed.

Good to know: the Bursar's Run tab does the same job for monthly and annual runs and is now the main place to work a run. The portal is still available.

  1. Open the View menu and choose Multi-Batch Recharge, or open it from the Command Center.
  2. Work each batch in order: download, upload to KFS, flag rejects, then enter the returned document number.

πŸš€ Provisioning & deprovisioning

Adding and removing access in the vendor consoles, at scale and safely, and checking that it actually landed.

Daily provisioning check

Runs on its own

Every morning License Commander checks that each approved, active Microsoft and Adobe seat is really in its vendor group, and fixes the ones that aren't. It catches the quiet failure where an order reads Approved but the seat never landed.

What you'll see: fixed seats and anything it couldn't fix are posted to Sick Bay and the notification bell.

Details & guardrails
πŸ”Ž
Adobe seats are compared to a copy of the Adobe Admin Console that refreshes every couple of hours, and each suspected miss is checked live before anything changes. Seats provisioned in the last three hours are skipped, because the copy may not show them yet.
πŸ›‘οΈ
If the check can't match a person to an Adobe account (no account yet, or an alias account), it reports them and leaves them alone, so it never creates a duplicate Adobe account.
βœ…
Bundles count. Creative Cloud Pro and Express Premium both include Acrobat Pro, and Creative Cloud Pro includes Express, so someone in the bigger group is covered.
🩺
A clean run closes its own earlier Sick Bay entries: old "Needs you" items change to Fixed, with the date they were resolved.
πŸ”
For a single order, the πŸ” Re-provision button in the Action window does the same thing on demand (see Orders).

Access guards when seats move

Runs on its own

License Commander won't take away access someone is still paying for. These checks run inside every transfer, revocation, deleted order, and new seat.

Details & guardrails
πŸ”
When a person gives a seat away (a transfer, a revocation, or a deleted order) but still holds another active seat for the same product, they keep their Adobe or Microsoft access. Only the record changes. If the lookup fails, access is kept.
βž•
When Adobe access is added, any other Adobe product the person already pays for stays in place. Adding Acrobat Pro or Express never strips a Creative Cloud Pro seat.
πŸͺͺ
If an Adobe add fails because Adobe renamed the person's account (after a name change, for example), License Commander looks the person up live under their other addresses before it sends an error email.

Guided Operations: deprovision

AdministratorSuper Admin approves

Removes people who no longer qualify from their vendor entitlement group (Adobe, Microsoft, or Canva) for licenses marked Revoke. Built with several safety checks so it never strips an active, paid, or falsely revoked user.

When to use: reclaiming access after a batch of revocations.

  1. Turn on bulk mode and open the Guided Operations window.
  2. Switch the operation toggle from Billing to πŸ—‘οΈ Deprovision and choose the vendor and unit.
  3. Run a preview first. It reports who would be removed, who's being held back, and why.
  4. To go live, submit for approval. A Super Admin confirms, and a short countdown runs before it executes.
Details & guardrails
πŸ§ͺ
Dry run is the default. A live removal only happens after the Super Admin approves it.
πŸ›‘οΈ
Records are held back automatically if the person is still active, was recently paid for, or shows the signature of a false revoke. A revoke from a bulk edit or a transfer counts as deliberate, not false.

Restore deprovisioned users

Anyone requestsSuper Admin approves

Re-adds people who were removed in a deprovision job. It's the mirror image of the sweep, with its own approval step.

When to use: a removal turns out to have caught someone it shouldn't have.

  1. Open Change History and find the deprovision job.
  2. Choose restore to open the Restore window and submit.
  3. A Super Admin approves (or, if you are one, you can approve on the spot), and access is re-added.

AntSoft Manager API (AMAPI)

AdministratorCSC

Adds or removes Adobe access directly, for one person or a list, without placing an order. It's meant for OIT licensing admins, campus Adobe Workfront admins, and UCI Health CSCs.

  1. Click AntSoft Manager API in the header.
  2. Choose one person or a list, pick Add or Remove, and choose the product (Acrobat Pro, Creative Cloud Pro, Express Premium, or Workfront).
  3. Submit. The completion email names who ran it.
Details & guardrails
πŸ”
A batch that repeats one the same person sent in the last two hours (same people, same add or remove, same product) is refused. Nothing runs and nothing is emailed.

Student seat reclaim report

Runs on its ownAdministrator decides

Three times a year (January 20, April 20 and October 20, about three weeks into each quarter), a report emails the licensing administrator a list of students who still hold a license their department bought but are no longer enrolled or employed.

What to do: it's report-only and changes nothing. Review the list. The rule for these seats: they go back to the department as a paid spare (Revoke), with no refund.

Details & guardrails
πŸŽ“
It only lists people who aren't active employees (by HR status and affiliation, and never emeritus) and whose last enrolled quarter is before the current one. Device, site, and research-software seats are skipped. Summer is skipped because many continuing students don't enroll then.

πŸ“‹ Orders

Working the approval queue, ordering in bulk, and moving licenses between people.

Approve, disapprove, reassign, or delegate an order

AdministratorFiscal OfficerCSC (not approve)

Processes pending orders: the requests waiting for a fiscal officer's decision before anything is billed.

When to use: clearing the open-order queue.

  1. Open a pending order to see the Action window.
  2. Choose Approve, Disapprove (a reason is required), or Reassign to a different fiscal officer.
  3. If someone else should approve, choose 🀝 Delegate and pick the person. They get an email with a link that opens the order.
Details & guardrails
🚫
CSCs may disapprove or reassign an open order but cannot approve one; approval is reserved for administrators and fiscal officers. Delegate is for administrators and fiscal officers. A requester can cancel their own pending order.
πŸ”—
A delegate who isn't the account's fiscal officer won't see the order in their normal view. The email link is their way in, so point them to it if they ask.
⚠️
If the person shows as separated in HR, Approve stops and asks you to confirm ("Approve anyway") before it goes through.
⏰
Reminders go out on their own. In the first week, the current approver (the delegate if there is one, otherwise the fiscal officer) gets a nudge every two days. After a week, a weekly reminder also goes to whoever placed the order on someone's behalf, with an FYI to the license holder. The licensing administrator gets one daily digest. Reminders never cancel an order.
πŸ’‘
An approved order that hasn't billed yet still opens with these buttons. Clicking Approve again changes nothing; if the seat didn't land, use Re-provision.

Bulk orders from a CSV

Anyone placing orders

Orders the same software for a list of people from one CSV file, without flooding anyone's inbox.

  1. In the new order window, click ↑ CSV next to Order For. A short guide explains the file first.
  2. Name the file for the software (for example Creative Cloud Pro.csv), start it with a header row (UCInetID, or uid), and put one person per row.
  3. Type one account on the form for everyone, or add account, project, SubAcct and OrgRefID columns when people bill differently.
  4. Check who will be skipped (they already have the license), then submit.
Details & guardrails
βœ‰οΈ
One email per person, not per seat. The person placing the order gets one summary grouped by fiscal officer. Each fiscal officer gets one email with Approve all and Deny all buttons. License holders are emailed only after approval, and a denial tells only the person who placed the order.
⏱️
Holder emails go out at a steady pace (about 12 a minute) so none get dropped. Reminders for a bulk order come as one email for the whole batch and never go to the holders.

One seat per person: duplicate and bundle guards

Runs on its own

Every way of ordering (single, on behalf of someone, CSV bulk, and the SharePoint intake) runs through the same checks, so a department isn't billed twice for the same access. A blocked order is refused with a message that says why.

Details & guardrails
🧍
A second order for a title the person already holds (active or pending) is refused. Research software licensed per machine (SAS, SPSS, LabVIEW, MNova, Mathematica) and shared-device licenses can have more than one.
πŸ“¦
Bundles count. No Acrobat Pro order for someone who has (or has pending) Creative Cloud Pro or Express Premium, and no Express Premium for a Creative Cloud Pro holder, because the bigger product already includes it. Upgrading the other way, from Acrobat Pro to Creative Cloud Pro, is fine.
πŸ—ΊοΈ
ArcGIS (ArcGIS Pro) is one per person: a second ArcGIS order is refused, and the quantity must be 1. ArcGIS Classroom Network and ArcGIS Enterprise Server can still have more than one.

Transfer a license

AdministratorFiscal OfficerCSCLicense Manager

Reassigns an active named-user license from one person to another. The vendor seat moves with it.

When to use: someone leaves or changes roles and their license should go to a colleague.

  1. Open the person's active license and click Transfer in the Action window.
  2. Choose the recipient and confirm.
Details & guardrails
πŸ›‘
You can't transfer a license to the person who already holds it, or to someone who already has an active copy of that title. When a spare seat is used to fill an order, it has to be a real spare: revoked and not already given to someone else.
🎨
Canva transfers are on a manual hold for everyone. A Canva transfer can make the previous holder's designs disappear, so the app emails you and the licensing team, and someone finishes it by hand.
πŸ–₯️
Shared-device (SDL) licenses are tied to a machine, not a person, so they can't be transferred.

Move an approved order to someone else

Administrator

Gives an approved per-seat order (SAS, SPSS, LabVIEW, MNova, or Mathematica) to a different person on the same team. Same order number, same account, same fiscal officer; billing doesn't change.

When to use: sparingly, when the wrong person ended up on an order, such as a fiscal officer who ordered for themselves but meant it for a colleague. Named-user licenses (Adobe, Microsoft, Canva, ArcGIS) use Transfer instead, because Transfer also moves the vendor seat.

  1. Open the order and click ➑️ Move to someone else in the strip at the bottom of the Action window.
  2. Search for the new person, check the review line, and confirm.
Details & guardrails
πŸ”‘
SPSS key sets claimed for the order move with it. The new holder gets the approval email (with the keys, for SPSS), and the fiscal officer gets an "order moved" note, copied to the previous holder.
πŸ‘€
Shows only for administrators, on an approved order that isn't revoked, removed, or already transferred. The move is logged in history for both people.

Other tools in the Action window

Varies by tool

The quieter buttons in the strip at the bottom of the Action window.

πŸ” Re-provision
Administrators, CSCs and fiscal officers. Re-runs vendor provisioning for an approved Adobe, Microsoft or Canva order whose seat didn't land. Safe to repeat, and it can also resend the approval email.
πŸ—‘οΈ Delete order
Administrators, CSCs, fiscal officers and License Managers. Removes a duplicate or mistaken order. It's silent by default (only an admin record copy); tick the box to tell the requester and fiscal officer. If the order was fulfilled, the vendor seat comes off first. The holder is never emailed, and a snapshot stays in history. For a real denial, use Disapprove.
πŸ“ Add note
Administrators and fiscal officers. Adds a note to the order, with optional attachments. You can also paste an email thread and save it as a PDF.
πŸ“§ Resend email
In the license holder section. Resends the approval request (pending) or the approval confirmation.

🎨 Canva

Collecting for paid seats, keeping former students off the paid team, and revoking without losing anyone's designs.

How Canva works at UCI

Two teams
Canva-Employees is the paid team; Canva-Students is free. Signing in with a UCI login puts anyone without active student data on Canva-Employees, so unpaid seats show up there on their own. The Watchlist is how we find them.
Designs
Designs belong to the team. Removing someone makes their designs unavailable, not deleted, and they come back if the person orders and rejoins with the same account.
Free use
Someone who won't pay can use a personal Canva account on a non-UCI email. Signing in with UCI puts them back on Canva-Employees.

The Canva Watchlist

AdministratorBusiness Office

Lists the people on the paid Canva-Employees team who haven't paid, and is where you email them, remove them, or set them aside. Open it from the Command Center.

  1. Start with the At a glance panel at the top: how many are on the paid team, how many have paid, and where every unpaid person stands. Each unpaid person is counted in exactly one group (emailed and waiting, on the removal countdown, auto-email scheduled, shared account, club on hold, declined or lapsed, or other).
  2. Use the tabs (Watching, Sent, Resolved, All) or the search box, which searches every tab by name, UCInetID, email, department, sponsor or status. Press Esc to return to your tab.
  3. Select people, click Preview send to see each person's actual email, then Send selected. Dismiss selected moves someone to Resolved with no message.
  4. On the Sent tab, people past their order deadline can be removed with Remove from Canva.
Details & guardrails
🏷️
Two kinds of rows: people who moved from Canva-Students to payroll and are no longer enrolled, and non-students on Canva-Employees with no order. Rows marked ⚠ are former students or people who left; remove those, don't bill them.
🧾
Each row's status shows everything that applies: the email and its order-by date, the reminder, a former-student notice and removal date, when a staff member will be auto-emailed, sponsor notes, and any comebacks after removal.
βœ‰οΈ
One email per person. Send skips anyone already emailed under the other category, and anyone who declined.
πŸ”’
Removing or declining more than 10 people at once asks you to type the exact count. A wrong number or Cancel removes nobody.
πŸ“„
See the note we send shows the real email, one at a time.

Automatic Canva emails and removals

Runs on its ownAdministrator decides removals

Most of the routine follow-up now runs by itself. Here's what each piece does.

Staff emails
Weekday mornings, current employees who have been on Canva-Employees for three full days with no order get the staff email, with a 21-day order-by date. Shared accounts, flagged former students, anyone on a hold, and the OIT licensing team are skipped. If more than 30 people qualify in one day, nothing is sent and the licensing administrator is emailed. The administrator gets a list whenever it sends.
Reminder
One reminder, 7 days before the deadline, to anyone emailed who still hasn't ordered.
Past deadline
Removal is not automatic. The licensing administrator is emailed about each person who passes the deadline unpaid and decides (Sent tab, then Remove from Canva).
Former students
Every 4 hours, a job looks for former students and guests on Canva-Employees, after checking the live campus directory. The first time, the person gets one notice ("Your UCI Canva access is ending") with their own Canva activity and how to save their designs to a personal, non-UCI account. Their seat comes off 7 days later. If they sign in with UCI again, they're removed quietly, with no new email.
Declined
Declined, revoke on the Watchlist removes the person from both Canva teams, and they're never emailed again.
Lapsed
Someone who was emailed, missed the order deadline, and was removed is marked lapsed. Declined and lapsed people who come back are removed quietly by the daily job.
Details & guardrails
πŸ›‘οΈ
The former-student job removes nobody if more than 40 qualify in one run (it emails the administrator instead), or if the campus directory can't be reached. It never touches shared accounts, people with a paid Canva order, or active employees.
πŸŽ“
People who moved from Canva-Students to staff are still emailed by hand from the Watchlist, with a 14-day order window.

Shared and club accounts

Runs on its ownAdministrator

Some Canva seats belong to a shared UCInetID (a department or club mailbox), not a person. They're never treated as former-student clutter, and the email goes to the account's sponsor instead.

Details & guardrails
πŸ‘€
Departmental shared accounts get the sponsor version of the staff email automatically; the sponsor is looked up in the campus directory. The legacy ordering app can't order for a shared account, so the sponsor replies with the KFS accounting and OIT places the order.
πŸŽ“
Student-club accounts (issued through OIT Student & Academic Services) are on hold while their move to Canva-Students is worked out. They show as "Student club Β· on hold" and aren't emailed.
🚫
Send refuses a shared account that has no sponsor on file.

Revoke a Canva license

Administrator

Canva keeps each person's designs inside their Canva account, so revoking asks what should happen to them, and who approved it. Billing stops right away whichever you choose.

  1. Click Revoke on the Canva license. For an approved order that hasn't billed yet, use βœ‚οΈ Revoke Canva license in the bottom strip instead; Disapprove or Delete would pull the seat with no handoff.
  2. Name the approver. It defaults to the license's fiscal officer.
  3. Pick one: "Hand them to someone" (who must already be on Canva-Employees), "Let them save first" through a date you pick (7 days by default, up to 60), or "Remove now" when there's nothing to keep.
  4. Check the summary line and confirm.
Details & guardrails
🀝
Handoff: only Canva's admin console can move designs, so you get an email with a one-minute console task ("Transfer designs and remove") and a "Mark handoff done" link. A reminder comes every 3 days until it's done, and the Watchlist and the former-student job leave the person alone in the meantime. Mark handoff done checks that the person is really off the team before closing it out.
πŸ’Ύ
Save first: the person gets an email with the date and how to save their designs. The seat comes off automatically the day after.
βœ‹
Only administrators can revoke Canva for now. Anyone else who tries is held: nothing changes, they get a note with their options, and the licensing team is told.

πŸ–₯️ Shared Device Licenses

Reviewing discovered devices and managing device revocations.

SDL Review

Administrator

Approves the queue of newly discovered shared-device licenses, with billing details pre-filled from sibling devices to save typing.

  1. Open the View menu and choose SDL Review.
  2. Step through the queue, confirm or adjust the billing details, and approve.
Details & guardrails
πŸ’‘
Uncertain guesses appear as suggestions you can pick, rather than being filled in automatically.
↩
Dismiss is a snooze. A dismissed device that keeps checking in comes back to the queue, marked "Previously dismissed".
πŸ–₯️
Each SDL order covers one device. The order form hides quantity for SDL, and a legacy SharePoint order for several devices is split into one order per device.

SDL Revocations & Devices

AdministratorCSC

SDL Revocations verifies a device has disconnected before finalizing (or cancelling) its revocation. SDL Devices is the global roster of every device license across all units.

  1. Open the View menu and choose SDL Revocations or SDL Devices.
  2. For a revocation awaiting verification, finalize it once the device is confirmed disconnected, or cancel the request.
Details & guardrails
⏳
A revoked device comes out of billing right away, but its entitlement stays in place until you finalize it, so nothing is lost mid-process.

πŸ”Ž Data & search

Finding records, reading what happened to them, and editing in bulk.

Global search & viewing as a user

AdministratorCSC

Searches the entire directory across all units, and is also how you start viewing the app as another person.

  1. Type a name or UCInetID in the header search box.
  2. Open a result to view that record, or press Enter on a UCInetID to view the app as that user.

View activity: the whole story of a record

All staff roles

One timeline of everything that touched a license: where it came from, every change, emails and order activity, billing and refunds, Adobe console events, and SharePoint intake. Start here before checking anywhere else.

  1. Open the record and click 🧾 View activity in the Action window.
  2. Use the chips (Origin, Change, Billing, Order & Email, Adobe, SharePoint, Untracked, and others) to filter. Newest is at the top.
  3. To undo a change, follow the Change history link at the bottom, where restore lives.
Details & guardrails
🌱
Every record has a first event, even the oldest imports, which read "Original AntSoft import".
πŸ•΅οΈ
Untracked changes: edits made outside the app (the nightly directory sync, one-off scripts) are captured too. They show as Untracked when no app event explains them within five minutes. They say what changed and when, but not who. Captured from October 14, 2026 forward.
πŸ“¬
Every Monday, the licensing administrator gets an email listing the past week's untracked changes. It's silent when there are none.

Bulk field editing

Administrator

Applies one change (an account, a project, a status) across many selected records at once.

  1. Turn on Bulk mode and check the rows you want.
  2. Pick the field and value, then Process Batch.

Changing "Software Title" in bulk is limited to the Adobe category, so a sweeping change can't fire by accident.

Records frozen for a billing run can't be changed until the run is released.

Change History & restore

All roles (view)

The classic audit trail of every change, with the ability to restore transfers or re-open a deprovision restore.

  1. Open the View menu and choose Change History, or open any user's history.
  2. Use the restore action on a history row to reverse a transfer or reinstate a deprovisioned license.

Notifications

AdministratorCSC

The header bell shows confirmed vendor-console actions (provisioned, removed, transferred) and anything waiting for your approval, such as a deprovision or restore job.

  1. Click the πŸ”” in the header to open the activity drawer. You can search it by name, UCInetID, software, or unit.

Administrators see organization-wide activity; CSCs see their unit. Anyone with a pending approval sees the bell too.

Sick Bay

Administrator

A running log of what broke, what got fixed on its own, and what needs a person. A weekly digest email links here.

  1. Open Sick Bay from the Command Center.
  2. Filter by Fixed, Needs you, Watching, or Shipped, and read the newest first.

🩺
Most entries are a record of what happened and stay as they are. The daily provisioning check closes its own: after a clean run, its earlier "Needs you" entries change to Fixed with the date they were resolved.
πŸ–₯️
Scheduled jobs on the OIT licensing workstation (such as the Canva former-student cleanup) report repeated failures here.

Command Log

Administrator

Searches the whole change history (who changed what, for whom, when, old value to new) across every record, with a Run logs view for the background jobs.

  1. Open Command Log from the Command Center.
  2. Search by person, account, or action. Switch to Run logs to see a job's own output.

For a single license, View activity is usually quicker: it pulls the Command Log together with emails, billing, and Adobe events in one place.

Automatic jobs at a glance

These run on a schedule. When this guide says a job emails "the licensing administrator," it means the person who runs License Commander for OIT.

  1. Open Command Roster from the Command Center.
  2. In the role's section, search for the person, click them, and confirm. For a License Manager, you can add units beyond their home unit.
  3. To remove a role, use the remove control next to the person and confirm.

Removing your own Administrator role asks for an extra confirmation. Make sure another administrator exists first.
